Job Description

Remote is seeking a Project Support Officer to join the team at ASD. The Project Support Officer will provide specialist and administrative support that is informed and directed by sound knowledge in specific areas and may undertake some research and analysis activities. The Project Support Officer will be accountable under limited direction to perform and achieve moderately complex project work within an integrated workforce. They are accountable to have a good understanding of and compliance to relevant legislative frameworks, government decision-making and ASD’s mission and policy requirements.

The Project Support Officer will be accountable for organising their workflow, making decisions within their defined parameters relating to area of responsibility and will seek guidance when required. They may exercise some discretion with respect to how legislation, procedures and guidelines are interpreted and applied to their work. They will provide administrative support that is informed and directed by their knowledge of the function. They may undertake some research and analysis activities. They may be required to engage and communicate with stakeholders to identify, respond and provide advice on issues to achieve work unit and the Australian Signals Directorate outcomes.

Role Description

Job Duties and Responsibilities may include:

  • Assist with project support tasks including the administration and coordination of project and/or program documentation.
  • Accountable to contribute to the ongoing application of project and/or program planning and scheduling.
  • Understand the reasons for decisions relating to project and/or program support and the broader impacts and implications of activities.
  • Apply knowledge and experience of legislation, policies, strategies and team plans to program support work.
  • Work collaboratively and operate as an effective team member. Liaise with internal and external stakeholders on moderately complex operational and administrative matters.
  • Build and sustain productive working relations both internally and externally including capability development teams.
  • Take the initiative to progress work and prioritise taskings to meet business objectives.
  • Evaluate and provide advice on capability or proposals.
  • Maintain project financial records under the direction of the Project Manager.
  • Conduct other project-related tasks within the scope of the stated APS level, as required by the assigned work area.

Technical skills:

  • Minimum of 2 years’ experience in a PSO or similar role
  • Knowledge of project management methodologies, e.g. PRINCE2
  • Experience working with Microsoft 365 and other software applications.

Essential criteria:

  • MEAS 4 - Measurement: Level 4 (SFIA) Identifies and prioritises appropriate measures, scales, and targets. Supports projects, functions or teams in the development of measurement methods. Specifies base and derived measures which support agreed information needs. Specifies how to collect and store the data for each required measure. Provides guidance on collection of data. Designs reports and reporting formats.
  • METL 4 - Methods and tools: Level 4 (SFIA) Provides advice and guidance to support the adoption of methods and tools and adherence to policies and standards. Tailors processes in line with agreed standards and evaluation of methods and tools. Reviews and improves usage and application of methods and tools.
  • PROF 3 - Portfolio, programme and project support: Level 3 (SFIA) Provides administrative services to project boards, project assurance teams and quality review meetings. Uses recommended portfolio, programme and project control solutions for planning, scheduling and tracking. Sets up project files, compiles and distributes reports. Provides guidance on project management software, procedures, processes, tools and techniques.
  • J2:3 - Business Skills: Level 3 (CIISEC) Understands aims and issues facing own work areas and organisation. Works effectively to meet with organisational policies, procedures, security and legal constraints.
